How to Import PDF Bank Statements into Accounting Software

Updated March 2026 -- A complete workflow for getting PDF bank statements into Fortnox, Visma, QuickBooks, Xero, and more.

The Problem: Banks Give You PDFs

Most banks provide account statements as PDF files. But accounting software needs structured data -- CSV, Excel, or proprietary formats. Manually copying transactions from a PDF into your accounting system is time-consuming and error-prone.

The solution is simple: convert the PDF to a structured format first, then import it. Here is how to do it for every major accounting software.

Step 1: Convert Your PDF

  1. 1.Go to our free converter
  2. 2.Upload your PDF bank statement (drag and drop)
  3. 3.Preview the extracted transactions
  4. 4.Choose your export format: Excel, CSV, Fortnox CSV, or JSON

Step 2: Import Into Your Software

Fortnox

Convert your PDF bank statement to Fortnox CSV format using our converter

In Fortnox, go to Bookkeeping > Bank Transactions > Import

Select the CSV file and map the columns (date, description, amount)

Review the imported transactions and approve

Pro Tip: Our converter has a dedicated Fortnox export format that matches their import template exactly.

Visma

Convert your PDF statement to CSV using our tool

Open Visma Administration or Visma eEkonomi

Navigate to Bank > Import Bank Transactions

Upload the CSV file and verify the mapping

Pro Tip: Use the standard CSV export with Swedish date format (YYYY-MM-DD) for best compatibility.

QuickBooks

Convert your PDF to CSV or QBO format

In QuickBooks, go to Banking > Upload Transactions

Select your bank account and upload the file

QuickBooks will match and categorize transactions automatically

Pro Tip: QuickBooks accepts CSV files with date, description, and amount columns.

Xero

Convert your bank statement PDF to CSV

In Xero, navigate to Bank Accounts > your account > Import

Upload the CSV file

Map the columns to Xero fields and confirm the import

Pro Tip: Xero has a flexible CSV importer that handles most formats automatically.

Common Issues and Solutions

Duplicate Transactions

Most accounting software detects duplicates automatically. If you reimport a statement that overlaps with a previous import, the software will flag duplicates for your review.

Date Format Mismatch

Swedish banks use YYYY-MM-DD format, which our converter preserves. If your accounting software expects a different format (MM/DD/YYYY), use the export settings to customize the date format before downloading.

Encoding Issues with Swedish Characters

Our exports use UTF-8 encoding, which preserves Swedish characters correctly. If you see garbled text, make sure your accounting software is set to import UTF-8 encoded files.

Automating the Workflow

For accounting firms processing dozens of statements monthly, consider using our Pro plan with batch upload. You can upload multiple PDFs at once, convert them all, and download the results -- saving hours of manual work.

For developers building integrations, we offer an API endpoint that can be integrated directly into your accounting workflow.
